Unit : School Of Medicine MBU Department : School of Medicine Duties & Responsibilities The senior events and marketing coordinator plays a central role in planning and executing impactful events for the VCU School of Medicine that enhance the school's reputation and provide meaningful engagement experiences for the school's community. This position serves as the lead planner for strategic, high-profile School of Medicine events as assigned, providing end-to-end management for the school's signature events like White Coat Ceremony, Match Day, and graduation ceremonies for both medical students and graduate students. Reporting to the web and communications team's project manager, this position will be involved in all aspects of assigned events including strategic planning, project management, budgeting, marketing and communications, on-site coordination of event/vendors, event execution, post-event evaluation, and metric tracking. The coordinator will also identify and develop ongoing relationships with event contractors, vendors, and partners (internal and external) as needed to ensure event success. Responsibilities Event planning and project management Responsible for end-to-end event management for assigned events, coordinating cross-functional teams and serving as a central point of contact for all incoming event-related inquiries Create detailed event project plans that outline timelines and deliverables, identifies key stakeholders, mitigates potential risks, and ensures everything remains on schedule Collaborate with School of Medicine leadership to define event strategy, identify event goals and milestones, and align key logistical decisions (such as event location, budget, etc.) Oversee operations on the day of event, coordinating project team and vendors on site, and addressing any logistical issues that arise Track event expenses, ensuring projects remain on budget Marketing and communication Work directly with the school's web and communication team to Publicize and raise awareness of events with the appropriate audiences and through the appropriate channels Ensure accuracy and timely completion of all creative assets for events (e.g., programs, slideshows, flyers, etc.) Ensure branding, tone and voice remain consistent, compliant, and in line with event strategy Ensure event project team remains clearly informed about their roles, responsibilities and deadlines Ensure key stakeholders remains updated on the event status as needed Collaboration (internal and external) Establish partnerships with relevant units across VCU and VCU Health System as needed to ensure event success Identify and build relationships with external vendors necessary for event success Evaluation and reporting Prepare detailed post-event reports with insights and recommendations for improvement Identify, in collaboration with dean's office leadership, potential KPIs and metrics by which to gauge event performance and efficiency Evaluate vendor partnerships for quality and return on investment Qualifications Minimum Qualifications Bachelor's degree in event management, hospitality, marketing, communications or a related field, or a combination of education and experience from which a similar skill set is obtained. A minimum of three years of event planning, marketing and project management experience. Strong project management skills, with exceptional organizational skills, time management skills and attention to detail Ability to juggle multiple tasks and priorities at the same time, and to stay positive and productive in a deadline-driven environment Strong problem-solving skills, with a demonstrated ability to anticipate and solve logistical issues Strong communication and interpersonal skills, with a demonstrated ability to build relationships with a wide variety of stakeholders Proven experience in event planning and coordination, and in leading large-scale events from start to finish Flexibility to work evenings and weekends as required by event schedules. Proficiency in using Microsoft Office suite, and project management software such as Smartsheet, Trello, Monday, etc. Demonstrated ability to work in and foster an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do so as a staff member at VCU. Preferred Qualifications More than five years of event planning, marketing and project management experience Experience working in a higher education or health care setting, ideally at an academic medical center Event planning certifications, such as a Certified Meeting Professional (CMP) certification Advanced proficiency with event management and project management software Salary Range : $55,000-$70,000 FLSA Exemption Status : Non-Exempt Restricted Position : No ORP Eligible : No Flexible Work Arrangement : Hybrid Position will remain open until filled.
