Our organization is seeking a highly organized and detail-oriented Administrative Specialist to join our team, initially on a contract basis with the potential for full-time hire. In this role, you will manage, maintain, and coordinate academic records while ensuring their confidentiality and security. You must demonstrate a commitment to record accuracy, be able to work within strict deadlines, and have a strong attention to detail.
Responsibilities:
- Maintain, update, and manage academic records including transcripts, reports, and documents.
- Verify data entered into the system to ensure its accuracy and completeness.
- Compile reports on academic metrics including enrollment, graduation rates, and academic standings.
- Assist in the preparation of academic forms and their processing such as course registration and grade reports.
- Oversee the secure transmission of records for requests.
- Ensure that all academic records comply with FERPA regulations.
- Assist students, faculty, and administrative staff in accessing necessary academic records and answering related queries.
- Coordinate with different departments to collect data and resolve discrepancies in records.
- Maintain the integrity, confidentiality, and security of all academic records.
- Develop and implement strategies to improve the maintenance and processing of academic records.
- Provide training to faculty and staff on proper record procedures.
Qualifications:
- Bachelor's degree in related field.
- Experience in an administrative role preferably in an educational setting.
- Proficiency in using student information systems.
- Exceptional organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
