Position Summary:
We are seeking a detail-oriented Mail Processing Clerk to support our mailroom operations, logistics, and shipping/receiving functions . This position is responsible for tracking mail, processing statements, verifying postage, and ensuring all outgoing mailings are prepared and presented to the Post Office on schedule. The Mail Processing Clerk works closely with production, client services, warehouse, and logistics teams to ensure accurate, efficient, and timely delivery.
Essential Functions:
Collect pallet signs and verify sample piece weights for all mail processing jobs
Generate and upload mailing statements into PostalOne!; ensure counts and costs match
Request and verify postage funding for outgoing mail and packages
Track shipping, receiving, and distribution logistics using spreadsheets and portals (Mystic, UBM, Quad)
Monitor and update client information, drop schedules, and load plans for warehouse and logistics support
Use handheld scanners to track pallets, warehouse locations, and trailer loads
Create purchase orders for transportation, supplies, and logistics services
Communicate job, pallet, and distribution status with Mail Processing Manager and production team
Resolve errors quickly to support mailroom, warehouse operations, and supply chain efficiency
Maintain a safe, clean, and organized mailroom and warehouse environment
Additional Responsibilities:
Support the Mail Processing Manager with special projects
Follow company policies, procedures, and compliance guidelines
Complete all required training and maintain adherence to workplace safety standards
Qualifications:
High school diploma or GED preferred
1+ year of experience in mailroom operations, logistics coordination, or shipping and receiving a plus
Proficiency with Microsoft Office and basic computer skills
Strong attention to detail, organizational skills, and ability to manage multiple tasks
Ability to lift up to 40 lbs and work in a fast-paced warehouse/mailroom environment
Schedule Options:
Monday-Friday 7:00am-3:30pm
