Job Description

Overview:

The Fleet Manager position ensures smooth operations and maintenance of the corporate vehicles by performing cost effective selection during vehicle procurement (purchase or lease), maintaining a fleet evaluation and order form for operational divisions' consideration, maintaining progressive cost analysis of vehicle condition, ordering repairs, managing fuel and toll programs, and coordinating and managing fleet maintenance schedules. The Fleet Manager ensures coordination with safety regarding GPS and fleet camera systems and communicates with users about issues and events. The Fleet Manager oversees and supports assigned direct report(s).

Essential Functions:

1. Procurement (30%):
  • Vehicle Purchases and Upfitting: Leads the procurement process for new vehicles, negotiating with dealerships and manufacturers to secure the best prices and terms. Manages vehicle upfitting to meet operational requirements by working closely with vendors to ensure timely and cost-effective modifications. Tracks market trends regarding new and rental vehicle lead time and availability.
  • Maintenance and Service Contracts: Negotiates and oversees maintenance and repair contracts, ensuring that service providers offer high-quality, timely, and cost-effective solutions.
  • Emergency Repairs: Orders urgent or emergency repairs as needed. Evaluates the vehicle condition to determine the need for repair or replacement. Secures rental options as needed during emergency repair timeline.
  • Fuel and Toll Programs: Administers and manages fleet-wide fuel and toll programs, negotiating contracts and ensuring efficient use of resources to minimize costs.
  • Database Maintenance: Maintains records regarding vehicle and upfitting costs and options, as well as vehicle condition and lifecycle.
2. Operations & Optimization (40%):
  • People Management: Oversees and supports assigned direct report(s) to ensure their job responsibilities are fulfilled. Participates in the continued development of assigned direct report(s). Assists with the decisions on the hiring and termination of assigned group as needed.
  • Vehicle Transfers and Coordination: Oversees the transfer of vehicles and equipment between company locations, divisions, departments, and jobsites to meet operational needs. Coordinates with Tool Manager as needed for asset tracking.
  • Asset Forecasting: Collaborates with division VPs and directors to forecast vehicle needs based on operational demands. Provides strategic recommendations for fleet expansion, reduction, or adjustments.
  • Preventive Maintenance: Implements preventive maintenance schedules to reduce the likelihood of breakdowns and extend the life of fleet vehicles. Regularly checks key components such as brakes, tires, and fluid levels.
  • Cost Savings and Efficiency: Continuously analyzes fleet operations to identify areas for cost reduction and implement best practices and innovative solutions to enhance overall fleet performance.
  • Vehicle Registrations: Oversees and ensures the accurate and timely management of vehicle registrations, safety and emissions inspections as needed, including renewals, compliance with state and federal regulations, and maintenance of up-to-date documentation for all fleet vehicles.
  • Insurance Cards: Administers and monitors vehicle insurance cards for the entire fleet, ensuring timely renewals, compliance with policy requirements, and proper documentation to support insurance claims and audits. Works closely with General Counsel on insurance renewals, insurance claims, and risk mitigation.
3. Asset Management (20%):
  • Fleet Information and Documentation Management: Maintains and organizes comprehensive fleet information and documentation, including vehicle records, maintenance logs, department and personnel assignments, registration details, and insurance policies, to ensure accuracy, compliance, and easy access for operational needs and audits. Assists in the evaluation of Asset Tracking software and selection. Coordinates with the Safety Department and HR regarding the selection of electronic logging devices (i.e., GPS tracking and on-board cameras) and equipment and assists with the management of collected data.
  • Remarketing of Vehicles: Oversees the disposal and remarketing of older vehicles, developing strategies to maximize resale value and ensure efficient turnover of fleet assets. Manages vehicle lifecycle and when a vehicle is no longer capable of serving its intended purpose, determine whether to rent, sell, reassign, or retire a vehicle.
  • Vendor and Stakeholder Relationships: Builds and maintains strong relationships with vehicle suppliers, service providers, and other stakeholders to ensure consistent quality and availability of services and products.
4. Performs other duties as assigned. (10%)

Education and Experience:
  • High school diploma or equivalent required.
  • At least 3-5 years of experience in the automotive industry, fleet management, or a related field required.
  • Previous experience leading a team required.
Skills/Abilities:
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient with Microsoft Office Suite or other related software.
  • Able to manage multiple tasks and emergencies effectively.
Work Environment:
  • Office environment with some travel required.
  • Outdoor work environment with exposure to dust, heat and cold.
  • May work in confined spaces.
Physical Demands:
  • Prolonged periods of sitting at a desk and working on a computer.
  • Manual dexterity required.
  • Must be able to climb ladders and navigate active work sites.
  • Must be able to lift up to 15 pounds at times.
