Construction Office Manager

Location: Ocala, FL
Company: Express Employment Professionals
Job Type: Full-Time, Permanent (Direct Hire)
Salary: $65,000 – $75,000 per year

Schedule: M-F 8am - 5pm

About the Role

We are seeking a highly capable and motivated  Construction Office Manager to join a well-established construction company in Ocala, FL. This is a direct hire opportunity for someone looking to take ownership of the accounting and administrative functions of a small but busy office. The ideal candidate will be stepping into a well-organized system and helping carry it forward as a long-standing employee transitions into retirement.

Key Responsibilities

Human Resources & Administrative Support

  • Manage HR tasks for approximately 7 employees
  • Process new hire paperwork and onboarding
  • Run payroll using Paychex
  • Lead workers’ compensation audits
  • Coordinate health insurance and vehicle insurance renewals

Accounting & Financial Management

  • Handle accounts payable, including job cost coding and check writing
  • Manage accounts receivable, including contract creation, budgeting, and billing
  • Integrate job costing and coding throughout the accounting process
  • Perform bank reconciliations and work with AIA billing documents
  • Prepare adjusting entries and year-end financial statements
  • Maintain general ledger and oversee financial reporting
  • Use Sage 300 Construction and Real Estate software (or similar) for accounting tasks
  • Experience with lien law and lien processing is a plus
  • Work with CPA firm on year end taxes and account management

Office Management & Client Relations

  • Maintain organized office systems and support daily operations
  • Communicate professionally with clients, vendors, and subcontractors
  • Be flexible and willing to assist wherever needed in a small business environment
  • Demonstrate initiative and problem-solving skills as a self-starter

Qualifications

Required:

  • Strong experience in construction billing and accounting
  • Proficiency in Sage 300 or similar construction accounting software
  • Solid understanding of general ledger accounting and financial statement preparation
  • Excellent communication and organizational skills
  • Professional demeanor and ability to work independently

Preferred:

  • Experience with lien law and lien documentation
  • Familiarity with Sage 300 or similar construction accounting system
  • Prior experience in a small business or construction office setting
